Experience/Skills: • Minimum 5 years experience in Administrative Assistant role. Industry related experience a plus.
• Strong PC skills including Word, Excel, Powerpoint, Access
• Excellent written and verbal communication skills.
• Good organizational skills.
Responsibilities: • Provide administrative support to Senior Executives.
• Adminster, compile, oversee and report on annual budgets within the various divisions.
• Prepare expense reports and invoice processing.
• Responsible for monitoring, preparing and entry of timesheets for group.
• Make travel arrangements (air, hotel, car rental, car service), with cost saving initiatives.
• Coordination of meetings including preparation of meeting materials, catering and meeting space requirements.
• Maintain daily, weekly and monthly schedules and calendars for senior executives.
• Arrange conference calls and videoconferences as required.
• Update and maintain emergency response contacts and org charts
• Attend various meetings as required (take and distribute meeting minutes).
• Prepare reports for Board, Quarterly, National and Staff Meetings, etc.
• File and copy as needed.
• Maintain office supplies.
